You file on eBay yourself. ProvenPix helps with an Upload Record, lookalike hits you still open and confirm, and an evidence pack for the NOCI fields. Removal is always eBay's call. This page is operational guidance for product-photo reports on listings — not legal advice, and not a MAP, selective-distribution, or pure contract playbook.

The short answer

Freeze the original file and discovery date. Rights owners and authorized agents use VeRO: file a Notice of Claimed Infringement ( EN-NOCI.pdf ) and/or register for the VeRO Portal . Bring each listing's Item ID (or full product URL). Reason Code: 4.2 for stolen images (4.3 if images and text were both copied). NOCI fields live under Which door below. A complete pack does not guarantee removal — it removes avoidable "no" reasons.

You can be sure the photo is yours and still get rejected. Reviewers work at volume against a checklist — they need an Item ID they can open, one matching Reason Code, a specific copyrighted-work link, and a specific infringing-content location.

What to do the day you find it

Do these three things before you open the NOCI PDF or VeRO Portal. Waiting makes the page harder to prove if the seller swaps images or the listing vanishes.

  1. Freeze the originals. Keep the source product-photo file (camera RAW/JPEG/PNG from your shoot or the export you uploaded). Note the date you first saw the copy. If you already have an Upload Record, keep the Record ID, UTC upload time, and public verify URL handy.
  2. Capture the live listing with context. Full listing page, not a tight crop. Show the address bar (or full eBay product URL) and a visible date. Save the Item ID, full product URL, and — when you can — the direct image URL in plain text.
  3. Mark the same detail side by side. Put your original next to the listing image. Call out one shared tell: packaging text, a seam, a shadow shape, a background prop. This matters more when the copy was cropped, recompressed, or lightly AI-altered — and it feeds the NOCI Description and optional supporting docs.

If you found the hit through monitoring, treat it as visually similar / lookalike (needs your check). Open the eBay URL. Confirm it is your photo on someone else's listing (or mark it as your own) before adding it to a complaint list.

What to prepare

Short list for VeRO / NOCI. Longer pack layout: sample evidence pack. A fuller checklist page is planned; plain text until live.

  1. Original product photo file — the file itself, not only a screenshot of your store page.
  2. Item ID or full product URL for each listing; ideally the direct image URL as well.
  3. Discovery date.
  4. Side-by-side comparison with the shared detail marked (especially if cropped, recompressed, or AI-altered).
  5. Full-page screenshot with URL and date visible.
  6. Contact block for the NOCI — legal name, mailing address, phone, email. Prefer a dedicated enforcement address when you can: on removal, eBay typically gives the seller your rights-owner name and email.
  7. Optional Upload Record materials — public verify page (UTC + SHA-256 on the page), Record ID. Paste as the specific link to your copyrighted work (homepage-only fails). That UTC is when the file was stored in ProvenPix, not the shoot date or a first-publication claim; note it predates their listing only when that helps. No account yet: items 1–6 are enough to start.
  8. Letter of authorization — only if you report as an authorized agent for someone else.

Registration number and jurisdiction(s): include when applicable. Copyright Reason Codes 4.1–4.3 still require a specific original-work link and a specific infringing-content location even without a registration number.

Which door to open

eBay's path for rights owners and authorized agents is VeRO: a Notice of Claimed Infringement (NOCI) and/or the VeRO Portal for ongoing filing. Prefer these over generic Report item when you own the copyright. Other marketplaces: How to report stolen product photos .

Door and identifier

QuestionDoorIdentifier to bring
Primary (worksheet) Official NOCI (US example): EN-NOCI.pdf → submit as directed Item ID(s) and/or full product URL(s); ideally direct image URL
Ongoing / volume VeRO Portal Same Item ID / URL handles
Wrong door for copyright owners Generic Report itemNot a substitute for VeRO when you own the copyright

Submit as directed — commonly [email protected] or the designated agent; the US copyright agent is often [email protected]. Confirm the live address before you send. VeRO does not enforce MAP, selective distribution, or pure contract disputes — stay on the image / copyright claim.

NOCI path · Fields (NOCI names)

  1. Open the official NOCI PDF ( EN-NOCI.pdf ) as a worksheet, or use the VeRO Portal if you already file at volume.
  2. IP Owner Name / IP Owner Email / Website (website optional).
  3. Reporter Information: Name and Title, Company, Mailing Address, Email, Phone.
  4. Declaration (good faith, accuracy, unauthorized use, authority; US penalty of perjury). Signature + date.
  5. Allegedly Infringing Item ID(s) / Product URL(s).
  6. Reason Code (one only):4.2 for stolen images; 4.3 if images and text were both copied.
  7. Description + optional supporting docs (side-by-side comparisons).
  8. Registration information + jurisdiction(s) when applicable.
  9. Required for copyright codes 4.1–4.3: a specific link to your copyrighted work, and a specific location of the infringing content (not a shop homepage alone).

Shared fields

FieldWhat to put
Listing handleItem ID and/or full product URL — not a shop name alone; add the direct image URL when you have it
Reason Code4.2 (stolen images) or 4.3 (images + text) — one code only
Where the original can be seenSpecific copyrighted-work link (public verify works; homepage-only fails)
Where the copy appearsSpecific location of the infringing content
Contact after sendDedicated enforcement email when possible — sellers typically get rights-owner name and email on removal

Shop-name-only notices, wrong Reason Codes, and vague original links slow review.

Common failure modes

Almost every bounce traces to a small set of defects. Incomplete materials mean the reviewer cannot act even when the photo is yours.

  1. No ownership basis. Only a crop from the infringing page, no original file, no public place to see your work.
Fix: Keep the original file; give a specific copyrighted-work link that loads in a private window (public verify works; homepage alone fails).
  2. Wrong Reason Code. Mismatched code, or mixed codes on one notice.
Fix: One Reason Code only — 4.2 for stolen images; 4.3 when images and text were both copied.
  3. Missing or ambiguous identifier. Shop name alone, a search URL, or a storefront homepage.
Fix: Paste the Item ID or full product URL; add the direct image URL when you can.
  4. Vague or dead original link. Homepage-only "proof," a 404, or a URL to a different photo.
Fix: Test in a private window; use a stable, specific verify or portfolio URL (required under codes 4.1–4.3).
  5. Missing infringing-image location. Item ID present, but no specific place the stolen frame appears.
Fix: State where the copy sits (main, gallery, description image); attach the side-by-side when it helps.
  6. Personal email exposed to the seller. Private inbox as the rights-owner / reporter email.
Fix: Prefer a dedicated enforcement address. On removal, eBay typically gives the seller your rights-owner name and email.
  7. Wrong door. Generic Report item instead of VeRO / NOCI when you own the copyright.
Fix: Use the NOCI PDF and/or VeRO Portal — Report item is not a substitute for VeRO on copyright image claims.
  8. MAP / contract claim dressed as image theft.
Fix: VeRO does not enforce MAP, selective distribution, or pure contract disputes. Keep the notice on the copied photo (use 4.3 only when text was copied too).

After you submit

eBay decides on its own clock. Timing varies. Missing a specific original-work link or infringing-image location often causes back-and-forth. Watch VeRO / eBay email. Re-open the listing yourself. On reject or a request for more materials, fix the Item ID, Reason Code, original link, or infringing location.

On removal, eBay typically gives the seller your rights-owner name and email. Keep evidence ready if they ask for a retraction. Wrong report: ask VeRO about retraction and bring the Item ID. Listings can reappear with new images or new Item IDs.

Extra documents, disputes, and reappearance belong in a planned after-you-file guide. Until that page is live, stay on VeRO / eBay mail and the NOCI notes above. A strong pack speeds your side. Removal stays eBay's decision.

FAQ

What evidence do you need to report a stolen product photo on eBay?

The original image file, Item ID or full product URL (ideally the direct image URL too), discovery date, side-by-side with a shared detail marked, and a full-page screenshot with URL and date. For the NOCI: legal name, mailing address, phone, email; Reason Code 4.2 (or 4.3 if images and text were both copied); a specific copyrighted-work link; a specific infringing-content location. Optional: Upload Record verify URL; letter of authorization if you report as an agent. Fuller layout: sample evidence pack.

NOCI PDF or VeRO Portal — which one?

Rights owners and authorized agents use VeRO either way. The official NOCI PDF ( EN-NOCI.pdf ) is the US worksheet example; submit as directed (commonly [email protected] or the designated agent; US copyright agent often [email protected] — confirm live). For volume, register for the VeRO Portal . Generic Report item is not a substitute when you own the copyright.

Should I use Reason Code 4.2 or 4.3?

4.2 for stolen images. 4.3 when images and text were both copied. Pick one Reason Code. Wrong codes are a common bounce reason.

How do I show the photo is mine if I have no US copyright registration?

Copyright Reason Codes 4.1–4.3 still require a specific link to your copyrighted work and a specific location of the infringing content. A public verify page from an Upload Record works as that link (UTC and SHA-256 on the page). Registration and jurisdiction(s) help when you have them. A homepage-only or dead original link slows reviews.

Will the seller see my email if the listing comes down?

Yes — on removal, eBay typically gives the seller your rights-owner name and email. Prefer a dedicated enforcement address when you can. Keep evidence ready if they ask for a retraction. Wrong report: ask VeRO about retraction with the Item ID.

Does ProvenPix file the eBay report for me? Does a pack guarantee removal?

ProvenPix prepares Upload Records, helps you confirm lookalike hits, and can lay out an evidence pack — Item IDs / URLs and comparisons for Description and attachments, plus eBay URLs marked Add to complaint list. You read the pack, sign the NOCI declarations, and submit. A complete pack removes avoidable "no" reasons. Removal stays eBay's decision.

How ProvenPix helps

  • Upload Record: After you protect a photo, paste the public verify page as the specific link to your copyrighted work (UTC + SHA-256 on the page). Homepage-only fails. That UTC is the ProvenPix store time, not a shoot-date or first-publication stamp — mention it predates their listing only when that helps.
  • Lookalike review: Monitoring surfaces visually similar hits. You open each eBay URL, confirm copy vs your own listing, then use Add to complaint list on real copies. Hits mean needs your check, not automatic theft.
  • Evidence pack: Lays out original, comparison, and listing URLs against NOCI fields — Item IDs / product URLs, comparisons for Description and attachments, and a specific verify URL for the copyrighted-work link. Complaint-list eBay URLs stay in one place for paste. Pricing: /pricing .
