How to report stolen product photos on Etsy
On Etsy, weak image reports usually fail for the same reasons: no original file, a shop name with no listing URL, a property never added before Create a report, or your own listing mixed into the complaint. This guide covers same-day steps, a short prepare list, the Reporting Portal path (Add a property → Create a report), bounce fixes, and what to watch after you submit — including Status and counter-notice mail.
You file on Etsy yourself. ProvenPix helps with an Upload Record, lookalike hits you still open and confirm, and an evidence pack for the portal fields. Removal is always Etsy's call. This page is operational guidance for product-photo reports on listings — not legal advice, and not a counterfeit or trademark playbook.
The short answer
Freeze the original file and discovery date. Open etsy.com/ipreporting : first Add a property (Copyright), then Create a report and add the listing. Bring the listing URL or listing ID (digits in the URL). Portal steps, Status, and counter-notice notes live under Which door below. A complete pack does not guarantee removal — it removes avoidable "no" reasons.
You can be sure the photo is yours and still get rejected. Reviewers work at volume against a checklist — they need a listing they can open, a Copyright property on file, and an ownership example that loads in one pass.
What to do the day you find it
Do these three things before you open the Reporting Portal. Waiting makes the page harder to prove later if the seller swaps images, retitles the listing, or the URL vanishes.
- Freeze the originals. Keep the source product-photo file (camera RAW/JPEG/PNG from your shoot or the export you uploaded). Note the date you first saw the copy. If you already have an Upload Record, keep the Record ID, UTC upload time, and public verify URL handy.
- Capture the live listing with context. Full listing page, not a tight crop. Show the address bar (or full etsy.com listing URL) and a visible date. Save the listing URL and listing ID (the digits in the URL) in plain text too, plus the shop name as shown on the page.
- Mark the same detail side by side. Put your original next to the listing image. Call out one shared tell: packaging text, a seam, a shadow shape, a background prop. This matters more when the copy was cropped, recompressed, or lightly AI-altered — and it tells you which frames belong in the report.
If you found the hit through monitoring, treat it as visually similar / lookalike (needs your check). Open the Etsy URL. Confirm it is your photo on someone else's listing (or mark it as your own). Only then move it toward a complaint list. Accidentally including your own listing is a common bounce reason on this portal.
What to prepare
Short list for the Reporting Portal. Longer pack layout: sample evidence pack. A fuller checklist page is planned; not linked here until live.
- Original product photo file — the file itself, not only a screenshot of your own shop page.
- Exact Etsy listing URL or listing ID (digits in the URL), plus shop name as shown on the page.
- Discovery date.
- Side-by-side comparison with the shared detail marked (especially if cropped, recompressed, or AI-altered).
- Full-page screenshot with URL and date visible.
- Optional Upload Record materials — public verify page (UTC + SHA-256 on the page), Record ID. Useful as the online example when you Add a property. The UTC on the page is when the file was stored in ProvenPix, not the shoot date or a first-publication claim; note it predates their listing only when that timeline helps. No account yet: items 1–5 are enough to start.
- Letter of authorization — only if you report as an authorized agent for someone else; the portal expects you to be the owner or an authorized agent.
US copyright registration number: include it if you have one. Many sellers start without it and point to a public original or verify link plus a clear property title / description of the photo.
Which door to open
Etsy's primary intake for copyright image claims is the Reporting Portal. Prefer it over generic "contact seller" queues. Other marketplaces: How to report stolen product photos .
Door and identifier
| Question | Door | Identifier to bring |
|---|---|---|
| Primary | etsy.com/ipreporting → Add a property, then Create a report | Exact listing URL or listing ID (digits in the URL); shop name |
| Fallback | Email to [email protected] with the elements Etsy accepts for a DMCA-style notice | Same listing URL / ID; Etsy still prefers the portal |
Portal UI is US-English and usable worldwide. First visit: Get started. Later: Intellectual Properties → Add a property; file under Reports → Create a report.
Reporting Portal path · Add a property, then Create a report
- Open etsy.com/ipreporting .
- Add a property owner; property type: Copyright.
- Set property name / title. Optional: a URL showing the work in use — a public verify page works as the online example.
- Create a report → choose owner + property → Create & add listings.
- Find listings: search Etsy by keyword, or use Upload multiple listings with URLs/IDs → Validate → add. Prefer paste-from-list when titles or tags changed.
- Review & submit. Track Status under Reports.
Shared fields
| Field | What to put |
|---|---|
| Listing handle | Exact listing URL or listing ID — not a shop homepage alone |
| Property type | Copyright (this guide stays on product photos) |
| Where the original can be seen | Optional URL on Add a property (public verify or portfolio); clear property title |
| Status after send | Portal Status + email; read counter-notice deadlines if Etsy sends one |
Shop-name-only notices and reports that never attach a Copyright property first slow review.
Common failure modes
Almost every bounce traces to a small set of defects. Even when the photo is yours, incomplete materials mean the reviewer cannot act.
- No ownership basis. Only a crop from the infringing page, no original file, no public place to see your work.
Fix: Keep the original file; on Add a property, use a clear title and an optional public verify or portfolio URL that loads in a private window. - Wrong claim type. Image theft filed under trademark, counterfeit, or a generic seller-complaint path.
Fix: Property type Copyright. This guide stays on product photos. - Missing or ambiguous identifier. Shop name alone, a search URL, or a shop homepage.
Fix: Paste the exact listing URL or the listing ID digits from the URL. - Own listing in the report. Your shop page mixed into Upload multiple listings or keyword results.
Fix: Open each URL before Validate / submit. Confirm copy vs your own listing (same rule as lookalike hits: needs your check). - Keyword-only find after a rename. Relying only on Etsy's keyword box after they changed title or tags.
Fix: Paste listing URLs/IDs via Upload multiple listings → Validate. Image-search monitoring can surface retitled copies the keyword box misses (indexes still miss some). - Missing authorization docs. Reporting as an agent without a letter of authorization when the portal expects one.
Fix: Be the owner, or attach the authorization the portal asks for. ProvenPix does not file for you. - Dead or mismatched original link. The optional "work in use" URL 404s or points at a different photo.
Fix: Test in a private window; use a stable public verify or portfolio URL. - Spamming after a counter notice. Re-filing the same listing instead of reading Etsy's email deadlines and options.
Fix: Watch Status and email. After a counter notice, a listing may come back under Etsy's policy — follow the deadlines in that mail before the next step.
After you submit
Etsy decides on its own clock. Watch Status in the portal and your email. Re-open the listing yourself. On reject or a request for more materials, fix the missing property, URL, or authorization — rewording an empty notice does not help.
Copyright here is about the copied image file. Similar objects the seller photographed themselves are a different dispute. Listings can reappear with new images or new IDs. Sellers may file a DMCA counter notice; after that, a listing may come back under Etsy's policy. Read the email deadlines before you act.
Extra documents, disputes, and reappearance belong in a planned after-you-file guide. Until that page is live, stay on portal Status, Etsy's mail, and the Reporting Portal notes above. A strong pack speeds your side of the work. Removal stays Etsy's decision.
FAQ
What evidence do you need to report a stolen product photo on Etsy?
The original image file, exact listing URL or listing ID, shop name, discovery date, side-by-side with a shared detail marked, and a full-page screenshot with URL and date. Optional: Upload Record verify URL as the online example on Add a property; letter of authorization if you report as an authorized agent. Fuller layout: sample evidence pack.
Add a property first, or Create a report first?
Add a property (Copyright) first, then Create a report and add listings. First visit: Get started. Later: Intellectual Properties → Add a property; Reports → Create a report. Skipping the property step leaves the report without a clear ownership handle.
Can I put many listing URLs in one report?
Use Create & add listings, then search by keyword or Upload multiple listings with URLs/IDs → Validate → add. Keep the concern on the same Copyright property and the same story. Bundling unrelated shops or mixing your own listings into the set is a common bounce reason. Confirm each URL before submit.
How do I show the photo is mine if I have no US copyright registration?
Many portal fields accept a clear property title, an optional public URL showing the work in use (a verify page from an Upload Record works), and a precise description of the photo. Registration helps when you have it. A dead or mismatched original link slows reviews.
What if the seller files a counter notice?
Watch Status and the email from Etsy. After a counter notice, a listing may come back under Etsy's policy. Read the deadlines and options in that mail before the next step — do not spam the same report. Longer follow-up belongs in a planned after-you-file guide (plain text until live).
Does ProvenPix file the Etsy report for me? Does a pack guarantee removal?
ProvenPix prepares Upload Records, helps you confirm lookalike hits, and can lay out an evidence pack — including listing URLs marked for Upload multiple listings and a public verify page for Add a property. You read the pack, sign Etsy's declarations, and submit. A complete pack removes avoidable "no" reasons. Removal stays Etsy's decision.
How ProvenPix helps
- Upload Record: After you protect a photo, paste the public verify page as the online example when you Add a property (UTC + SHA-256 on the page). That UTC is the ProvenPix store time, not a shoot-date or first-publication stamp — mention it predates their listing only when that helps.
- Lookalike review: Monitoring surfaces visually similar hits — including retitled copies Etsy's keyword box often misses (indexes still miss some). You open each Etsy URL, confirm copy vs your own listing, then use Add to complaint list on real copies. Hits mean needs your check, not automatic theft.
- Evidence pack: Lays out original, comparison, and listing URLs against Reporting Portal fields for Add a property and Create a report. Complaint-list Etsy URLs stay in one place for Upload multiple listings. Pricing: /pricing .
